Privacy and security
Private by design
Your recordings, transcripts and notes are saved on your computer. We never store them, and the AI that writes your notes keeps nothing.
- Saved on your computer
- Encrypted in transit
- Zero data retention AI notes
Where your data lives
On your computer, start to finish
Recording happens on your computer and so does saving. The cloud only sees what it needs for one job, for as long as the job takes.
Step 1 of 4
Your computer
Meetings are recorded and saved in a folder on your computer: Documents > Transcript Audio unless you choose another.
Step 2 of 4
Encrypted in transit
Only the speech needed for a transcript, or the transcript text for notes and answers, is sent over HTTPS to our AI service in London.
Step 3 of 4
AI processing
Our AI service passes it to the provider that does the job and returns the result. It stores and logs no audio, prompts or transcripts.
Step 4 of 4
Back on your computer
The transcript and notes are saved in your folder, next to the recording. Nothing is kept by us.
In privacy optimised mode, all four steps happen on your computer and nothing is sent at all.
Encryption
Encrypted on the way, locked down at home
What is encrypted today, and how to protect the meeting folder on your computer.
Encrypted in transit
The app only talks to our AI service over HTTPS, and the service accepts HTTPS only, with TLS 1.2 or later. The website is HTTPS only too, with HSTS.
Your sign-in, sealed by your computer
The app keeps your sign-in and any keys in your computer’s secure storage: Keychain on Mac, Windows data protection on Windows. If secure storage is not available, the app refuses to save them rather than write them in plain text.
Our records, encrypted at rest
The usage counts our AI service keeps (minutes and requests, never content) are stored in Amazon DynamoDB in London with encryption at rest switched on.
Verified updates and models
Every app update is checked against our digital signature before it installs, and on-device AI models are checked against a fixed fingerprint before first use.
Your meeting folder
Meeting files are ordinary files in your folder, protected by your computer’s disk encryption. Turn on FileVault (Mac) or BitLocker (Windows) and a screen lock. Avoid shared or synced folders unless you mean to share them.
- Coming soon
Encrypted meeting storage
Every recording, transcript and note encrypted by the app itself, with the key in your computer’s keychain and a recovery key only you hold.
Zero data retention
Who does each job, and what they keep
Zero data retention means the AI provider processes your request and keeps nothing afterwards: no copy of your audio, text or the answer. Here is where each job runs.
Notes, details, titles and Questions as you go
Zero data retention- Who
- Amazon Bedrock: Amazon Nova Lite and Nova Micro, Claude Haiku 5.5, Claude Sonnet 5.5 and Claude Opus 5.5
- Where
- AWS London (eu-west-2). Claude Haiku 5.5 and Claude Sonnet 5.5 run through AWS’s EU regions, as they are not offered in London alone.
- What they keep
- Zero data retention: Amazon Bedrock stores no prompts or outputs.
Cloud transcription
Zero data retention: Coming soon- Who
- AssemblyAI Universal, with OpenAI gpt-4o-mini-transcribe and Deepgram Nova-3 as backups
- Where
- EU-hosted services (AssemblyAI EU, OpenAI EU data residency, Deepgram EU).
- What they keep
- Zero data retention agreements with these providers are being put in place. Only speech is sent, never the silence between it. Want audio to stay on your computer? Use privacy optimised mode.
Our AI service runs on AWS in London and stores and logs no audio, prompts or transcripts: only counts, such as minutes used. Premium notes also have two optional backup routes, the Anthropic API and Azure OpenAI, which are not zero data retention: they only run if Amazon Bedrock is unavailable and we have switched them on, and never in privacy optimised mode. Questions typed into the live demo on our website are sent to Claude on Amazon Bedrock to write the answer; we don't store them, and only count how many are asked. Want the full model list? Transparency
What we store and what we never store
We only hold what we need to run your account and your plan.
What we store
Your account
Email address and sign-in provider.
Plan and billing
Plan, subscription status and billing records from Stripe. Stripe handles card details: we never see full card numbers.
Devices
A name, platform and app version for each computer you activate.
Usage counts
Meeting counts (a random id, start time, duration and platform) and minutes and requests used. Never content.
Hashed IP addresses
For rate limiting and stopping abuse. We never keep a raw IP address, except for addresses we block for attacking the site.
What we never store
- Never stored:
Recordings and audio
Saved only on your computer.
- Never stored:
Transcripts
Written back to your folder, not kept by us or our AI service.
- Never stored:
Notes and summaries
Saved only on your computer.
- Never stored:
Questions as you go history
Your questions and answers stay on your computer.
- Never stored:
Full card numbers
Stripe handles payments; we only get the billing record.
No advertising and no third-party tracking. We never sell your data or share it for advertising. We count website visits ourselves, without cookies.
Privacy optimised mode
Keep everything on your computer
Transcription and notes run on your own computer and nothing leaves it. Included on every plan, Free too, and it works offline once set up.
- On-device transcription: Whisper Large v3 Turbo on a Mac, Parakeet TDT 0.6B v3 on Windows.
- Notes and answers written by an AI model running on your computer.
- An optional cloud fallback, off unless you switch it on. Even then, audio is never sent: only text, and only to zero data retention models.
Hidden from screen sharing
Your notes stay off the shared screen
The app keeps its windows, including the Questions as you go panel, out of screen shares, screen recordings and screenshots. It is on by default.
- Covers every app window: setup, settings and your meetings. The Questions as you go panel is protected by default on its own.
- Windows 10 (version 2004) and later: hidden from Zoom, Teams and Google Meet screen sharing, screen recorders and screenshots.
- Mac: newer screen sharing and recording tools on macOS 14 and later do not always respect it. Sharing a single window or tab, not the whole screen, is the way to be sure.
- Notifications and the menu bar or tray icon are drawn by your computer and cannot be hidden.
You are in control
Deleting your data
Your meetings are files you own, and your account can be closed at any time.
Delete a meeting
Delete it in the app, or delete its folder. The app never deletes a meeting by itself; it only discards very short test recordings, and you can switch that off.
Close your account
Account, device and usage data are deleted within 30 days of closing it. Billing records are kept for as long as UK law requires.

FAQ
Privacy questions
Do you store my recordings, transcripts or notes?
No. They are saved in a folder on your computer. When a cloud job runs, our AI service passes the audio or text to the AI provider and returns the result without storing or logging it.
Where is my data processed?
Our AI service runs on AWS in London. Notes and answers use Amazon Bedrock in London, or AWS EU regions for Claude Haiku 5.5 and Claude Sonnet 5.5. Cloud transcription uses EU-hosted providers. In privacy optimised mode everything runs on your computer.
What does zero data retention mean here?
The provider processes the request and keeps nothing afterwards. Notes, details, titles and Questions as you go run on Amazon Bedrock, which stores no prompts or outputs. Zero data retention for cloud transcription is coming soon; until then, privacy optimised mode keeps audio on your computer.
Is my data encrypted?
Everything sent to our AI service is encrypted in transit over HTTPS with TLS 1.2 or later. Your sign-in is kept in your computer’s secure storage. Meeting files are protected by your computer’s disk encryption (FileVault or BitLocker); encryption of meeting files by the app itself is coming soon.
Can I keep everything on my computer?
Yes. Privacy optimised mode runs transcription and notes on your computer and nothing leaves it. It is included on every plan, Free too.
Do you sell my data or show ads?
No. We do not use advertising or third-party tracking, and we never sell your data.
How do I delete my data?
Delete a meeting in the app or delete its folder. To close your account and delete its data, email privacy@transcript.audio; account data is deleted within 30 days.
