1. Install the app
- Go to the download page and choose macOS or Windows.
- On macOS, open the downloaded file and drag Transcript Audio into Applications. On Windows, run the installer.
- Open the app and sign in to your Transcript Audio account (or create one; the Free plan needs no card).
2. Grant permissions
Transcript Audio needs to hear both sides of the call:
- Microphone, for your own voice.
- System audio, for everyone else. On macOS, allow system audio recording when prompted (System Settings, Privacy & Security). The app captures audio only, not your screen.
On Windows, check that your microphone is allowed in Settings, Privacy & security, Microphone.
3. Check your AI settings (optional)
There is nothing to set up: AI transcription and summaries are included in your plan, with no API keys needed. The defaults work well for most people.
- Transcription runs on your computer by default. On Premium you can also use cloud transcription, which is useful on slower machines.
- Summaries use a fast, accurate standard model. On Premium you can pick premium models for particular jobs.

4. Set up your recording notice
The recording notice is on by default. Before each meeting the app reminds you to tell people and gives you announce text you can copy into the meeting chat. You can edit the wording in Settings. Read the recording consent guide if you are unsure what the law requires.
5. Record a meeting
- Tell everyone you are recording. See recording consent for what to say.
- Join your call as usual in Zoom, Teams, Meet, Slack or any other app.
- Press Record in Transcript Audio. No bot joins the call.
- Open Questions as you go to ask about the meeting while it happens; answers appear in real time and the panel is hidden when you share your screen. It is in every meeting on Pro Converser and Teams, and in 1 meeting a month on Free and Premium.
- Press Stop when the meeting ends.
6. Get your notes
The app transcribes the recording and writes a summary, decisions and action items using your chosen template. You can edit them, copy them or export them (on plans that include export).
How meetings are counted
Only finished recordings of at least 2 minutes count towards your plan’s meeting allowance, so quick tests are free. See pricing for the allowance on each plan.
